About the Company

A medical device company is seeking a highly organized and proactive Office / Logistic / Operations Specialist to support U.S. operations.

Position Summary

The Office & Operations Manager will oversee the day-to-day operations of the Raleigh office, ensuring smooth and efficient logistical, administrative, and financial workflows. This role is central to supporting the company’s continued growth and requires regular interaction with the global team.

Key Responsibilities

Office Management

  • Maintain the office environment, facilities, and vendor relationships
  • Manage calendars, meetings, mail, and general administrative processes
  • Procure office supplies and manage service provider contracts
  • Serve as the primary liaison for traveling staff and international colleagues, ensuring seamless communication and support

Operations Management

  • Coordinate logistics related to orders, shipments, and technical equipment
  • Track and manage RMA (Return Material Authorization) inventory and repairs
  • Act as the point of contact for vendors, contractors, and service providers
  • Provide operational support to Sales, Marketing, and Application teams
  • Maintain and update the CRM system

Financial & Administrative Support

  • Collaborate with the finance team on invoice collection, payment processing, and petty cash management
  • Handle banking tasks, including deposits and credit card reconciliation
  • Monitor budgets, track cash flow, and generate expense reports
  • Submit business filings such as annual license renewals

Requirements

  • Experience in operations and logistics
  • Background in manufacturing
  • ERP systems and inventory control experience
  • Strong time management, organizational, and problem-solving skills
  • Proficiency in Microsoft Office, especially Exce
